Access Control

 

Introduction

Objectives

The objective of this document is to establish the procedure of access control of personnel to the Data Center building.

 

Scope

This document is directed to all Company clients who have their equipments installed in the Data Center (IDC) of Telecarrier. In this document we detail the steps clients of the

Data Center should follow in order to enter the building, as well as documents and requirements they must send to our Company for the effective compliance of security

norms and procedures.

 

Permanent Access List

With the purpose of guaranteeing access to the Data Center by the personnel of the client necessary for the operation of equipment installed in the equipment room, the client must send us a list with the technical and administrative personnel who will have access to the building on a 24 x 7 x 365 schedule.

This list, which we will call an Authorized List of Permanent Access of Clients, must be a formal printed document with the signature of the Representative or a contact person in the contract, sent by the client to the Manager of the Data Center. This Authorized

List of Permanent Access must indicate the following information:

  • Name, position, identification or passport number of each person in the List.
  • Name(s) of the person (people) with authorization to request temporary access to
  • personnel not on the List.
  • Name(s) of the person (people) with authorization to modify the List.
  • Name(s) of the person (people) that can authorize the withdrawal of equipment from the Data Center.
  • Type of access: Indicate if access in during working hours (Monday to Friday
  • 8:00 a.m. a 5:00 p.m.) or during an extended schedule 24 x 7 x 365. If another
  • time of access is required it must be specified.

In Annex 1 is indicated the form that must be used for the elaboration of the Authorized List of Permanent Access.

In the event that any personnel of the client that was included in the authorized list stops being an employee of the company, the client must notify as soon as possible this event to our Company through a note to Management of IDC. This note must be accompanied by the new Authorized List of Permanent Access and magnetic cards that were given by us for the access of the employee who no longer works for the company.

It is mandatory that cards that were assigned to no longer working employees of clients be returned to our Company.

 

Requests for temporary access

Temporary access to the Data Center for personnel of clients who are not found in the Authorized List of Permanent Access, such as contractors and external suppliers among others must be petitioned in advance for the customer by sending an email to the address visitas@telecarrier.com where the following must be specified:

  • Name of the company
  • Name and identification/passport number of the visiting person
  • Purpose of visit
  • Date and time of visit
  • In case the visitor needs an escort, indicate the name of the personnel of the client that will accompany the visitor.

It is important to point out that this email will only be accepted as valid, by the security personnel of Data Center, if it is sent by personnel with authorization to petition temporary access, in accordance to the Authorized List of Permanent Access of the Client.

 

Procedure of entry of personnel of Clients and Visitors

The Data Center has two control and access verification points where people who enter the building are registered.

Following is the procedure that must be followed by clients and visitors in order to

access the IDC building.

 

External Surveillance (Guard)

  • Entry to the building will not be allowed to any person without verifying that it has an authorization of entry.
  • If the client has an access card to the Data Center, he must show it to the security agent located in the sentry box and indicate his name, identification number and company of employment. The guard will proceed to register him in the access logbook. After this step, the visitor may continue toward the reception of the building.
  • If the client does not have an access card to the Data Center, he must indicate to the security agent his name, identification number, company of employment and reason of visit to the Data Center. The security agent will proceed to verify if the visitor is included in the Authorized List of Permanent Access of Clients or if he has a temporary access permit processed previously.
  • If the security agent confirms that the visitor has an authorized access, he may be able to continue on to the reception of the building.
  • If the security agent confirms that the visitor does not have authorized access, Access to the building will NOT be permitted. Interior Surveillance (Lobby)
  • If the client has an access card to the Data Center, he must show it to the security agent located in the sentry box and indicate his name, identification number and company of employment. The guard will proceed to register him in the access logbook. After this step, access to the building will be allowed.
  • If the client is included in the Authorized List of Permanent Access of Clients, but does not have an access card to the Data Center, he must indicate to the security agent his name, identification number and company of employment. He will be requested to leave a document of personal identification and will be given a visitor card that will then allow him access to the building. Before leaving the building, the client must return the visitor card.
  • If the visitor is part of the personnel or a subcontractor of the client, but its name is not included in the Authorized List of Permanent Access, the security agent will proceed to verify if the visitor has a temporary access permit requested previously. If the security agent confirms the visitor has authorization of temporary access, he must indicate to the security agent his name, identification number, company of employment and reason of visit. He will be requested to leave an identification document which is not his identification card, and will be given a visitor card that will then allow him to access the building.
  • If the visitor does not have an authorization for temporary access processed previously, the access to the building will NOT be permitted.

 

Anyone who is not a client of our Company or is not included in the Authorization List of Permanent Access of Clients or does not have an authorization of temporary access, cannot enter the building. Conditions of access to the Data Center

The Company reserves their right of admission to the Data Center of its personnel, clients, subcontractors and visitors.

 

Entrance to the Data Center is prohibited to people under the following conditions:

  • Carrying guns, knives or similar.
  • Under the influence or consuming alcoholic beverages.
  • Under the effect of any drug or hallucinogenic substance.
  • Carrying photographic or video cameras
  • With inappropriate clothing (short pants, sleeveless shirts, flip flops).
  • Smoking.
